The University of North Texas at Dallas invites applications for the position of Senior Administrative Associate.

The position is at UNT Dallas College of Law, 1901 Main Street, in downtown Dallas. The position is responsible for receptionist duties in the Dean’s Suite which includes welcoming and directing visitors by greeting them, in person or on the telephone, and for answering or referring inquiries. Dean’s Suite visitors include students, faculty, staff, attorneys and judges, donors, university officials, elected officials, and others. This position is also responsible for routine administrative support to the department of Marketing/Communications and to the department of Development/ Alumni
Relations (both departments located in the Dean’s Suite) that may include inventory, developing/creating correspondence, account reconciliation, event scheduling, purchasing, data collection, meeting logistics, payroll, and travel vouchers.
Position duties require some independent judgment and decision-making. Resolves routine questions where problems have occurred before and their solutions generally are familiar. Refers more complex issues to higher levels.

Responsibilities of the position include, but are not limited to:

  • Maintains complex calendars and schedules appointments.
  • Manages travel arrangements and travel vouchers.
  • Assists with preparing materials, reports, and responses to official inquiries from internal and external constituencies.
  • Directs, and relays telephone, fax, and email messages to the appropriate persons.
  • Will cross-train in any/all administrative departments to master software and operating systems.
  • Creates and maintains filing systems.
  • Monitors and maintains adequate levels of office supplies and administrative materials for assigned areas.
  • Organizes meetings and assists with special event logistics including room assignment; announcement, invitation, handout preparation and distribution; catering and logistical arrangements; taking and transcribing minutes; IT support scheduling.
  • Reviews communications of various types and refers to appropriate department, faculty or staff for disposition.
  • Coordinates executive communications, including those requiring a high degree of security and sensitivity.
  • Serves as a backup to other administrative assistants. May provide administrative support to the Dean, as needed.
  • Facilitates problem solving for appropriate college personnel as required.
  • Must be able to work scheduled office hours normally between 8:00 am to 5:00 pm, Monday through Friday, or as otherwise required.
  • Perform related duties as required.

Minimum Qualifications

The successful candidate will possess High School diploma or GED equivalent and three years of general office or clerical experience. The following knowledge, skills, and abilities are required:

  • Basic MS Office skills.
  • Ability to problem-solve and make decisions.
  • Ability to effectively communicate.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Skill in composing routine letters and preparing reports.
  • Skill in recording and compiling material for reports.
Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

  • Bachelor’s Degree.
  • Proficiency in MS Office skills.
Physical requirements necessary to perform essential job functions

Work is primarily sedentary. Sits comfortably to do the work; however, there may be some walking, standing, bending, or lifting items weighing up to 15 pounds.
